Learn how to open/close, send, and view Mass Messages for the Conversations Module.
The Mass Messages feature in the Conversations Module enables you to send SMS messages to multiple recipients or groups simultaneously. This is an ideal solution for organizations looking to communicate efficiently with large audiences, such as employees, guests, or clients. Whether you're sending alerts, reminders, or promotional messages, the Mass Messages feature helps streamline the process.

- Send messages using either a Long Code or a Short Code.
Enter Mass Messages and Open/Close a Message
To manage the status of a mass message (Open or Closed):
Open messages are threads that can receive and reply to messages. Closed messages are threads that are no longer active.
- Click Conversations from the main menu and select the required Inbox.
- Click the Mass Messages button on the left side of the screen.
- Select the mass message whose status you want to change.
- To change the status, hover over the message and click the Open/Close button. Alternatively, you can click the Open/Close button on the right side of the screen.
Note: The history of status changes is maintained in the mass message thread.
View Sent Mass Messages
To view previously sent mass messages, follow these steps:
- Click the Mass Messages button on the left side of the screen.
- A list of all previously sent mass messages will appear on the left side of the screen. Messages are color-coded based on their status (Open or Closed).
- Select a message to view its replies (if any) in the center of the screen.
- The delivery status for each recipient (Read, Delivered, or Error) is displayed on the right side of the screen. Hover over the delivery icon to view the status.
- Note: Individual conversations will not be displayed in the Mass Message section but will appear in their respective Inboxes.
Send a Mass Message
To send a mass message, follow these steps:

Click the New Mass Message button. The New Mass Message panel will appear on the right side of the screen.

Fill in the following fields:
- Facility: Select the facility from which the message will be sent. This identifies where the message is originating.
- Long Code / Short Code: Choose the Long Code or Short Code (phone numbers used for sending messages). Select the one you intend to use for dispatching the SMS.
- Message: Type the content of your message in the message field. You can also choose to use a Quick Reply Template for predefined responses.
- Quick Reply Template (Optional): If you'd like recipients to select predefined replies, you can choose a Quick Reply Template.
- Event: Select the Event related to the message, if applicable. This helps track the message for specific purposes or reporting.
- Recipients: Choose the Recipients to whom you want to send the message. You can select multiple groups, individual contacts from different groups, or manually enter phone numbers.
- Allow Replies From Recipients: If you want recipients to reply to the message, select this option. When selected, the mass message will remain Open, and replies can be received based on the duration set in the Auto Close After field.
- Auto Close After: Select the time increment (in minutes) for Auto Close After. This sets how long the message thread remains open for replies. The default time is 60 minutes, but you can extend this up to 240 minutes. After the set time, the thread will close automatically, and no further replies will be received.

Once all fields are filled, click Send to dispatch the message.
Note: Only the fields marked with a red asterisk (*) are mandatory. However, filling in all fields is recommended to ensure proper message delivery and tracking.
