Approve/Deny Work Orders Submitted via Web Form

The Approve/Deny Work Order feature is easy to use and allows you to approve Work Orders with a simple click. This feature helps to triage Work Orders with a thumbs up/thumbs down button allowing a user to determine which Work Orders are valid and should be approved or which ones are invalid with a reason for denial. The Approve/Deny Work Order feature saves time and resources by ensuring that only authorized work is completed.

Steps to Enable Approve/Deny Permission in User Settings

  1. Go to Settings > Users and select the Edit button or the username of the user you’d like to give the Approve/Deny Work Order permission to.

  2. Scroll down to the permissions section, and select the CMMS tab.

  3. Select the checkbox associated with the permission Approve/Deny Work Orders, then click Save. Enabling this permission will allow the selected user to approve or deny Work Orders they have permission to view.

Steps to Approve/Deny a Work Order on the Web

  1. After a Work Order has been submitted via the Web Form, select the Pending status in the Work Orders queue to change the status.

  2. To Approve a Work Order, select the Thumbs Up button, then click Apply. This will trigger any notifications, and the Work Order will move to the Submitted status.

  3. To Deny a work order, select the Thumbs Down button. This will allow you to enter a Reason for Denial, then click Apply. Notifications will be triggered, and the Work Order will move to the Denied status.

  4. To Approve a Denied Work Order, select the Denied status to view your status options. There will be a Thumbs Up button associated with the denied field, select this to approve this Work Order. After you click Apply, the Work Order will go into the Submitted status.

Steps to Approve/Deny a Work Order on the CMMS Mobile App

  1. After a Work Order has been submitted via the Web Form, tap the Pending Work Order from the Work Order list to go to the details screen.

  2. To Approve a Work Order, tap the Thumbs Up button, then tap the Save button at the top right. This will trigger any notifications, and the Work Order will move to the Submitted status.

  3. To Deny a work order, tap the Thumbs Down button. This will allow you to enter a Reason for Denial in the text field above, then tap the Save button at the top right. Notifications will be triggered, and the Work Order will move to the Denied status.

  4. To Approve a Denied Work Order, tap the Thumbs Up button inside the Denied status field. After you tap the Save button at the top right, the Work Order will go into the Submitted status.

Filters for Conversations Inboxes - Coming next week!

Have better control of the Conversations Inbox by applying the right filters. With the ability to filter by Facility, Departments, Keywords, Time, and much more, users are in ultimate control of seeing only the Conversations that they want to see. Use the Filter button to the right of the search bar to view and apply the correct filters needed. Applying multiple Filters allows the user to quickly drill down and find the Conversations that are important to them and eliminates seeing unnecessary messages in the Inbox.

Steps to Apply Filters in the Conversations Inboxes

  1. Open your Conversations Inbox by going to Conversations > Inbox 1, Inbox 2, or Inbox 3.

  2. Select the Filter button to the right of the search bar to view the different Conversations filters.

    1. Filter by Type allows you to filter Conversations by the type of message that was sent. This includes filtering by SMS and WhatsApp!

    2. Filter by Facility allows you to filter your Conversations by the facilities in your account.

    3. Filter by Department allows you to filter your Conversations by the assigned department.

    4. Filter by Priority allows you to filter your Conversations by the assigned priority.

    5. Filter by Keyword allows you to filter your Conversations by the keywords in your account.

    6. Filter by Shortcode/Longcode allows you to filter by your Shortcode or Longcode in your account.

    7. Filter by Time allows you to filter your Conversations by All Time, Today, Past 2 Days, Past 3 Days, Past 5 Days, Past 7 Days, or Past 30 Days.

    8. Filter by Event allows you to filter your Conversations by the events you have held at your venue or by 24/7 mode.

    9. Filter by Event Marker allows you to filter your Conversations using different event markers.

    10. Filter by Feature allows you to filter your Conversations by Internal Notes and Media.
